What we collect, and why

The quote form asks for your name, an email address or phone number, and the service you want. It can also take the property address, a message and one photo of the job. We use it for one thing: to work out a price and get it back to you.

Only a name, one way to reach you, and the service are required. The address is optional, and a request without one is answered the same way. The one exception is the estimate page. There the property address is required, because the crew goes out to that address to look before giving a price.

If you call or text instead, we keep your number in the phone, the way anyone does. We use it to reply and to schedule the work.

The estimate page can also take a build you drew: its size, its height, and whether it has a railing and stairs. It sends that with the request.

If you create an account there, we keep your name and email address. We keep a scrambled form of your password that cannot be turned back into it. We also keep the phone number and postal code if you gave them, and the designs you choose to save.

The account sends you email only about the account itself: a link to confirm your address, and a link to reset a forgotten password. It also sends the list of materials, when you ask for it by email.

We send news or offers only if you ticked the box for them, which starts unticked. Every such email has a link that stops them. You can delete the account by asking.

Where it goes

A quote or estimate request is stored on our own server. It is also posted to a private Discord channel that only the owner can read, so it is seen the moment it arrives.

Some work is done by other businesses, so they can call you about it. An estimate request for excavation is passed to Byron Ackroyed's Excavation. One from a rental or real-estate owner is passed to Arctic Owl Property Management and Skyhigh Real Estate. Those requests include the name, contact details, address and message you sent.

To draft a quote, the text of a request may be sent to Anthropic's API, and the emails we send go through our email provider. Neither is used to advertise to you. Your details are not sold, and they are not used to send you anything you did not ask for.

Discord and Anthropic are US companies, so what reaches them is processed outside Canada, in the United States.

How long we keep it

For as long as you are a customer. After that, for the period the Canada Revenue Agency requires us to keep records of work we invoiced. Requests are kept so we can follow up and quote repeat work.

Email team@grovec.ca to have yours deleted, along with the property address and any photo you sent.

The web server also keeps access logs, with your IP address and the page requested, for a limited time and only for security.

Cookies and tracking

The one cookie this site can set is the sign-in for an account on the estimate page. It exists only after you create an account, and it only says who is signed in. It is not used to track anything.

On our own server, we count how the site is used. We count which pages are opened and how far down they are read, which buttons and questions are tapped, and how far the quote form gets before it is sent or left. We also note the rough width of the screen and the kind of site a visit came from, such as a search engine or Facebook. A form is counted by its fields, never by what you type in them.

To tell one visit from another, your browser keeps a random number for each tab. It is not a cookie. It is deleted when you close the tab, and we never link it to your name, your address or your IP address.

When you send a request, it notes the page your visit started on and the kind of site that sent you. That tells us which pages bring in work.

If your browser sends a Do Not Track signal, our counting does not run at all.

The estimate page keeps the build you are drawing in your browser's session storage so a reload does not lose it. It stays on your device and is cleared when you close the tab. The typeface is served from this site, not from Google Fonts.

Your choices

At any time, you can ask what we hold about you, ask us to correct it, or ask us to delete it. Email team@grovec.ca or call (506) 607-1850. We answer within a few days, and the deletion is real, not a flag.
